At Blu Networks, Fridays hold a special significance. Instead of winding down for the weekend, Fridays are when the team gears up for the week ahead. This unique approach to planning has revolutionized our workflow and set the tone for a more organized and efficient work environment. Let’s delve into why Fridays have become the cornerstone of our operational strategy.

Shifting the Planning Paradigm

Traditionally, our team used to kick off the week by planning on Monday mornings. This involved reviewing the previous week’s workload, assessing ongoing cases, and scheduling resources for the upcoming week. While this approach provided us with a roadmap for the week ahead, we found that it wasn’t as efficient as we’d like, given our fast-paced environment.

Mondays often turned into planning marathons, consuming valuable time that could be better spent on executing tasks. The delay in finalizing the plan meant that the team started the week without a clear direction, leading to potential inefficiencies and confusion.

To address this challenge, we decided to flip the script and move our planning sessions to Fridays. This shift allowed us to hit the ground running on Monday mornings with a well-defined plan in place. By ending the week with a comprehensive review and forward-looking strategy, we ensured that everyone was aligned and prepared for the week ahead.

Friday Planning Meeting

The Friday Planning Ritual: A Collaborative Effort

Our Friday planning sessions are a collaborative effort involving key team members responsible for help desk and service delivery, engineering, and organizational oversight. Ideally, our planning session would involve everyone in the organization meeting face-to-face. However, in practice, these sessions often take place virtually, involving key team members such as the engineering team lead, the person responsible for the help desk and service delivery, and myself. Once we convene, we bring together different insights and perspectives to gain a comprehensive understanding of our current situation.

The person overseeing the help desk and service delivery provides updates on all customer cases, highlighting what’s outstanding, critical, and requires immediate attention. This ensures that we are fully informed about our caseload and can prioritize tasks effectively.

Meanwhile, the engineering team lead offers a technical viewpoint, detailing what’s been accomplished, what’s pending, and any associated risks. This technical insight is crucial for understanding the feasibility and implications of our plans.

By combining these perspectives with my organizational overview, we can collaboratively assess priorities, acceptable risks, and organizational goals. This holistic approach enables us to formulate a clear plan for the upcoming week and set realistic expectations for what we aim to achieve by the end of it.

Bringing these diverse viewpoints together, along with organizational insights, allows us to craft a holistic plan that aligns with our strategic goals. It enables us to identify potential bottlenecks, allocate resources efficiently, and prioritize tasks based on their impact and urgency.

Building Predictability and Trust with Our Customers

Our commitment to Friday planning has not only enhanced our internal operations but also strengthened our relationships with customers. Over time, our customers have come to recognize and appreciate our planning cadence, often reaching out with requests and cases well in advance.

Knowing that we review and allocate resources every Friday, customers feel more confident and informed about our capacity to address their needs. This proactive approach has helped us build trust and credibility, making it easier to manage expectations and deliver exceptional service consistently.

Furthermore, our Friday planning sessions have empowered us to anticipate potential challenges and devise contingency plans, ensuring that we remain agile and responsive to emergent situations. While emergencies do arise, having a well-laid plan enables us to adapt swiftly without compromising on quality or efficiency.

In conclusion, the power of planning cannot be overstated, especially in a dynamic and demanding environment like Blu-Networks. By embracing Fridays as our dedicated planning day, we’ve fostered a culture of collaboration, transparency, and accountability that drives our success.

As we continue to evolve and grow, we remain committed to refining our planning processes and leveraging them as a strategic advantage. After all, a well-executed plan is the foundation for achieving our goals and delivering value to our customers. So here’s to Fridays – the day when we set the stage for success and ensure that Blu-Networks remains a trusted partner for our customers.
